There are three ways to add participants to your interviews: manually, via CSV import, or from your existing Propane history.
Different interview types may require specific data fields. For example, NPS interviews require the participant’s score and original comment to enable contextual AI conversations.

1. Accessing the Participant Menu

  1. From the Interview agents page, locate the specific interview card.
  2. Click the + Add participants button directly on the card, or open the interview and navigate to the Participants tab.

2. Methods for Adding Participants

Option A: Manual Entry (Add New)

This method is best for adding individual users or testing the flow with internal team members.
  1. Select the Add new tab.
  2. Enter the First name, Last name, and Email.
  3. Additional Context Fields:
    • Company: The user’s organization.
For NPS Follow-up interviews, you’ll also need to provide:
  • NPS Score: Enter the specific score (0-10) they gave in the original survey. The AI needs this to determine if it should treat the user as a Promoter, Passive, or Detractor.
  • NPS Comment: Copy the text feedback they provided (e.g., “Your product is great”). This gives the AI context to ask relevant follow-up questions.
  1. Invitation:
    • Check “Send email invitation” to have Propane email them immediately.
    • Uncheck this if you plan to send the link manually (e.g., via Intercom, Slack, or SMS).
  2. Click Add participant.

3. Managing Participants & Invites

Once participants are added, they appear in your list view. You can manage individual users using the three dots menu (…) on the right side of their row.

Copy Session LinkGenerates a unique URL for that specific user. Pro Tip: Use this if you want to send the interview link personally via a different channel (like a direct message or personal email) rather than the automated Propane email.
Send Email InviteTriggers the standard Propane email invitation (useful if you initially added them without sending an invite).
Remove ParticipantDeletes the user from this specific interview campaign.
